Job Description

OTHON, INC. is seeking a highly organized and proactive Full-Time Marketing Associate to support our marketing, business development, and executive teams in our Houston office. This is a 100% onsite role. This role plays a key part in coordinating proposals, including preparing data requests and tracking responses to ensure timely delivery and completeness. It also supports meetings and events by scheduling, monitoring attendance, and following up with invites to confirm participation. The ideal candidate thrives in a fast-paced environment, enjoys managing details across multiple priorities, and brings a positive, can-do attitude to every task.

Responsibilities:

Proposal & Data Coordination

• Prepare, send and follow-up on outgoing proposal data requests with assistance from the applicable pursuit manager.
• Gather, verify, and organize internal projects and staff information needed for proposals.
• Support marketing and technical teams in responding to incoming proposal data requests.
• Maintain accurate records of submittals, deadlines, and required documentation.

Meetings & Scheduling

• Request, schedule, and confirm internal and external meetings for executives, project managers, business development leads.
• Track meeting requests and follow up with invitees to confirm attendance and manage calendar conflicts.
• Anticipate scheduling needs and proactively “hunt down” open meeting times or alternative arrangements when conflicts arise.

Event & Outreach Management

• Track RSVPs and attendee lists for client events, conferences, and sponsorships.
• Follow up with non-responsive invitees to ensure strong attendance and full participation.

General Marketing Support

• Assist with maintaining the firm’s marketing database, project descriptions, and staff resumes.
• Occasionally support preparation of presentation materials (e.g., Microsoft PowerPoint) and digital content (e.g., LinkedIn posts).
• Ordering supplies and materials to assist with development and production of marketing collateral.

Desired Qualifications: 

• 3 years of experience in administrative support, marketing coordination
• Exceptional attention to detail and follow-through. This is paramount to being successful in this position.
• Comfortable managing multiple priorities and interacting with staff at all levels of the organization.
• Strong organizational and communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
• Experience with Adobe InDesign or Deltek Vantagepoint or other CRM environment a plus.
• Experience in professional services environment (EPC/AEC industry) a plus.
