Executive Assistant | Marketing & Brand Engagement Coordinator to provide direct support to our President while helping lead marketing, communications, engagement, and special projects across two growing organizations.
This unique role supports both Dean's Professional Services, a nationally recognized staffing and workforce solutions firm, and Outspoken, the personal brand of Jennifer Dean—author, speaker, boutique fashion, and entrepreneur. You'll play an integral role in helping execute Jennifer's vision by coordinating her schedule, managing projects, managing all social media accounts, creating and managing marketing initiatives, promoting events and products, and ensuring her day-to-day calendar run smoothly.
No two days are the same. One day you may be coordinating executive meetings, and the next you may be helping launch a new resource, preparing for a speaking engagement, coordinating a company event, managing social media content, or supporting a marketing campaign.

What You'll Do
As a trusted partner to leadership, you'll provide executive, administrative, marketing, and project coordination support across multiple areas of the business.
Responsibilities include:
Provide executive support to the President/Founder, including calendar management, scheduling, meeting preparation, travel coordination, and executive communications.
Manage Jennifer Dean's professional calendar, speaking engagements, meetings, priorities, and ongoing projects.
Coordinate and create marketing initiatives for both Dean's Professional Services and the Outspoken brand.
Create, implement and manage the promotion of books, speaking engagements, coaching opportunities, digital resources, events, and other products and services offered through Outspoken.
Coordinate company events, workshops, employee engagement initiatives, leadership meetings, and community outreach efforts.
Create or coordinate social media content, email campaigns, promotional materials, presentations, flyers, graphics, videos and marketing communications.
Help maintain websites, event registrations, promotional calendars, and marketing timelines.
Track projects, deadlines, action items, and deliverables to ensure initiatives move forward efficiently.
Draft internal and external communications, announcements, invitations, newsletters, and executive correspondence.
Collaborate with leadership, recruiting, operations, compliance, accounting, marketing, vendors, community partners, and clients to support company initiatives.
Identify opportunities to improve organization, communication, and workflow while maintaining a high level of professionalism and discretion.

3 years of experience supporting senior executives, business owners, or C-suite leadership in an Executive Assistant, Operations, Project Coordinator, or similar role.
2 years of experience in marketing, communications, brand management, social media, or related field.
Exceptional organizational and time management skills with the ability to prioritize multiple projects and deadlines simultaneously.
Outstanding written and verbal communication skills with strong attention to detail.
Experience managing complex calendars, scheduling meetings, coordinating travel, and handling confidential information with professionalism and discretion.
Strong project management skills with the ability to track multiple initiatives from planning through execution.
Experience creating marketing materials, presentations, email campaigns, social media content, and promotional communications.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
Experience using Canva or similar design software for creating marketing materials.
Familiarity with social media platforms including LinkedIn, Facebook, Instagram, and YouTube.
Comfortable learning new software, technology platforms, and marketing tools quickly.
Ability to work independently while anticipating needs and solving problems proactively.
Must demonstrate professionalism, sound judgment, adaptability, and a high level of integrity.
Ability to work in a fast-paced environment while maintaining accuracy and attention to detail.
Bachelor's degree in Business, Marketing, Communications, Public Relations, or a related field preferred, or equivalent professional experience.
Preferred Qualifications
Experience supporting a CEO, President, Founder, or entrepreneur.
Background working with personal brands, authors, speakers, coaches, influencers, or nonprofit organizations.
Experience planning and coordinating corporate events, workshops, conferences, or speaking engagements.
Knowledge of email marketing platforms such as Mailchimp, Constant Contact, HubSpot, or similar.
Experience managing websites using WordPress, Squarespace, Wix, or similar content management systems.
Graphic design, photography, and video editing experience.
Familiarity with project management tools such as Asana, Monday.com, Trello, ClickUp, or Microsoft Planner.
Experience coordinating product launches, marketing campaigns, or brand initiatives.
Understanding of SEO, digital marketing, and content strategy.
Experience writing newsletters, blogs, executive communications, or promotional copy.
Familiarity with CRM systems and marketing automation tools.
Experience working in staffing, healthcare, professional services, or other service-based industries.

Comfortable occasionally attending events outside of normal business hours when needed.
