About the Position
The Marketing & Communications Operations Specialist is responsible for driving the operational execution of the company’s Marketing & Communications function, ensuring marketing programs, customer engagements, executive events, industry conferences, and internal communications are planned and executed effectively.
Reporting to the Senior Director, Office of the CEO, this individual contributor serves as a key operational partner to the Marketing & Communications team, managing the planning, coordination, and execution of high-visibility initiatives and experiences. The role works closely with Business Development, Operations, Facilities, Security, Human Resources, Engineering, and other corporate functions to ensure activities are executed efficiently, consistently, and in alignment with company brand standards.
Success in this role requires exceptional organization, strong project management and coordination skills, attention to detail, and the ability to independently manage multiple priorities in a fast-paced, technical environment. The ideal candidate is proactive, customer-focused, and skilled at anticipating needs, resolving issues, and creating repeatable processes that improve execution.
Responsibilities
Marketing & Communications Operations
- Coordinate day-to-day operational activities supporting the Marketing & Communications function.
- Maintain marketing calendars, schedules, project trackers, production timelines, and other tools used to support visibility into priorities and deliverables.
- Coordinate the development and production workflow for marketing collateral, branded materials, digital assets, presentations, promotional items, and other communications resources.
- Maintain the corporate marketing asset library, approved templates, brand resources, and shared Marketing & Communications materials.
- Support adherence to established company brand and communications standards.
- Coordinate with vendors and agency partners regarding purchase requests, production schedules, deliverables, invoices, and logistics.
- Support purchase requests, invoice processing, expense tracking, and other administrative activities associated with Marketing & Communications initiatives.
- Maintain established processes, templates, timelines, checklists, and operating procedures that support consistent and efficient execution.
- Assist with operational tracking and reporting related to Marketing & Communications activities.
- Coordinate the scheduling, publishing, and distribution of approved internal announcements, newsletters, leadership updates, and organizational communications.
- Maintain internal communications calendars, publishing schedules, distribution lists, and channel information.
Customer & Executive Engagements
- Coordinate logistics for customer visits, executive briefings, facility tours, strategic meetings, and other high-profile engagements.
- Support the development of visit agendas, itineraries, briefing materials, visitor materials, and facility readiness plans.
- Coordinate with Business Development, Facilities, Security, Operations, Engineering, and other functional teams to support successful customer and executive engagements.
- Coordinate meeting spaces, catering, audio visual support, transportation, visitor access, signage, and other engagement requirements.
- Help ensure customer and executive engagements reflect the company's brand, mission, culture, and standards for professional visitor experience.
- Utilize established customer visit protocols, briefing materials, checklists, and engagement standards to support consistent execution.
- Identify potential scheduling conflicts, resource constraints, or operational issues and escalate them to the appropriate stake holders for resolution.
Events & Industry Engagement
- Support the planning and execution of the company's participation in trade shows, industry conferences, customer events, executive receptions, and other external engagements.
- Coordinate assigned activities within established event workplans, timelines, and priorities.
- Coordinate event logistics including registrations, exhibit requirements, shipping, promotional materials, branded giveaways, signage, presentation materials, and other assigned event needs.
- Support speaker and executive participation through scheduling, presentation coordination, briefing materials, and onsitelogistics.
- Coordinate with Marketing & Communications, Business Development, and other stakeholders to support event execution aligned with established objectives and brand standards.
- Coordinate with external vendors, venues, conference organizers, agencies, and other partners regarding assigned deliverables and timelines.
- Track event actions, deadlines, and assigned deliverables and escalate risks or delays asappropriate.
- Assist with gathering event participation information, costs, engagement metrics, and other information used for post-event reporting.
- Provide onsite event support as needed.
Project & Cross-Functional Coordination
- Serve as an operational point of contact between Marketing & Communications and internal support organizations for assigned activities.
- Track project timelines, milestones, dependencies, deliverables, and stakeholder requirements.
- Facilitate coordination across functional teams and help ensure stakeholders understand assigned responsibilities, timelines, and deliverables.
- Identify scheduling conflicts, resource constraints, project risks, and operational issues and escalate them to appropriate stakeholders.
- Provide status updates and maintain visibility into priorities, deadlines, risks, and outstanding actions.
- Support process improvements that increase efficiency, consistency, and quality across Marketing & Communications operations.
- Create and maintain documentation, workflows, templates, checklists, and other resources that support repeatable execution.
Requirements
- 3–5 years of experience in marketing operations, corporate communications, event coordination, customer engagement, project coordination, or a related field.
- Demonstrated experience coordinating projects, events, or operational activities involving multiple stakeholders, timelines, vendors, and deliverables.
- Experience supporting customer visits, executive meetings, corporate events, trade shows, conferences, or other high-visibility engagements.
- Strong organizational and project coordination skills with the ability to manage multiple priorities and deadlines simultaneously.
- Demonstrated ability to work effectively across multiple functions, stakeholder groups, and organizational levels.
- Excellent written and verbal communication skills with strong attention to detail.
- Strong customer-service mindset and professional presence when interacting with customers, executives, employees, and external partners.
- Proficiency with Microsoft 365 and familiarity with project management, collaboration, or communications platforms.
- Ability to work independently within assigned responsibilities, recognize when escalation is appropriate, and adapt to changing priorities.
- Ability to operate effectively in a fast-paced, technical environment with changing priorities and high-visibility activities.
- Ability to travel periodically and support occasional evenings, weekends, or non-standard working hours based on customer engagements, events, and business needs.
Desired
- Bachelor’s degree in Marketing, Communications, Business, or a related field; equivalent combination of education and relevant professional experience considered.
- Experience in aerospace, defense, technology, engineering, or another highly technical industry.
- Experience supporting executive-level, government, or high-profile customer engagements.
- Experience with marketing asset management systems, internal communications platforms, event management tools, or project management software.
- Experience supporting brand governance and maintaining corporate brand standards.
- Experience developing, documenting, and improving operational processes, workflows, and standards.
